Sales & Groups Coordinator

About the role

The Sales & Groups Coordinator supports the Director of Sales and Distribution and the wider sales team at The Ritz‑Carlton, ensuring daily operations meet brand standards. The role combines administrative support, reservation management, and communication duties to deliver seamless service to bookers, guests, and internal departments.

Key responsibilities

• Provide administrative assistance to Sales Executives, Managers and Directors, maintaining an accurate filing and tracing system.
• Prepare and distribute meeting minutes, manage departmental mail, and ensure phone coverage from 09:00‑17:00.
• Assist in month‑end reporting, annual budgeting, and participate in daily and weekly sales meetings.
• Handle all reservation requests, including FIT, ERS, and wholesale bookings, ensuring 100% market segmentation accuracy.
• Maintain guest and block profiles, process amendments, and monitor group activity with the Reservation and Revenue Managers.
• Communicate group requirements, special requests, and status updates to bookers, guests, sales managers, CCS manager and Front Office while preserving confidentiality.

Required profile

• Strong attention to detail and ability to perform daily quality checks against Ritz‑Carlton standards.
• Excellent organizational skills with experience in scheduling, reporting and small‑project coordination.
• Proactive communication style, capable of liaising with internal teams and external partners.

Required skills

• Proficiency with MARSHA reservation system.
• Proficiency with OPERA / Power of M property management system.
