About the role

The Event Coordinator plans, coordinates, and supports the delivery of corporate events, conferences, exhibitions and other functions from concept to post‑event follow‑up. This role works closely with clients, venues, suppliers and internal teams to ensure events meet client expectations, budgets and timelines.

Key responsibilities

  • Coordinate a variety of events including conferences, product launches, workshops and private functions.
  • Develop event concepts, proposals, budgets, timelines, run‑sheets and production schedules.
  • Research, source and inspect suitable venues; manage bookings, layouts, catering and technical requirements.
  • Source and negotiate with suppliers, contractors, AV providers, decorators, photographers and transportation companies.
  • Prepare and monitor event budgets, purchase orders, invoices and cost reports.
  • Organise logistics such as transportation, accommodation, equipment, signage, registration materials and guest gifts.
  • Manage invitations, RSVPs, registrations, guest communications and attendance tracking.
  • Supervise on‑site setup, dismantling and day‑of operations, coordinating staff, speakers, vendors and venue personnel.

Required profile

  • Diploma or Bachelor’s degree in Event Management, Hospitality, Marketing or related field (preferred).
  • Previous experience coordinating corporate events, conferences or exhibitions.
  • Strong organisational, time‑management and stakeholder‑communication abilities.
  • Ability to work under pressure, solve problems quickly and adapt to last‑minute changes.
  • Willingness to travel for site visits and work evenings, weekends or public holidays as needed.

Required skills

  • Microsoft Word, Excel, PowerPoint and Outlook.
  • Familiarity with event registration platforms.
  • Experience with project‑management tools.
  • Knowledge of CRM systems.
  • Basic design skills using Canva or Adobe Creative Suite.
