Sales Coordinator – DX Air‑Conditioning Projects

About the role

We are looking for a proactive Sales Coordinator to manage enquiries, quotations and tender processes for DX air‑conditioning projects. You will act as the central hub between sales, estimation, procurement and project teams to ensure timely and accurate delivery of proposals.

Key responsibilities

• Receive, register and log all enquiries, quotation requests and tender invitations for DX air‑conditioning systems.
• Coordinate the preparation, review and submission of quotations, bids and technical proposals for VRF/VRV, packaged, split and ducted split units.
• Maintain up‑to‑date records of enquiries, quotations, sales bookings and project status in departmental reports and systems.
• Liaise with sales, estimation, procurement and project teams to gather technical and commercial inputs.
• Monitor bid due dates, equipment submittals and submission schedules to ensure timely completion.
• Prepare weekly and monthly reports on sales activities, bookings, pending quotations and project progress.
• Assist in planning and coordinating project activities, including documentation and follow‑up with clients, suppliers and internal stakeholders.
• Maintain an organized and confidential filing system for all sales, tender and project documents.
• Perform general secretarial and administrative duties such as correspondence, meeting scheduling and departmental communications.

Required profile

• Diploma or bachelor’s degree in Business Administration, Marketing, Engineering or a related field.
• Minimum of 3 years experience in sales coordination, tender administration or secretarial support within the DX air‑conditioning or MEP contracting industry.
• Strong organisational, time‑management and communication abilities.
• High attention to detail and ability to manage multiple stakeholders and competing priorities.

Required skills

• Proficiency in Microsoft Office applications.
• Familiarity with ERP systems (preferred).
• Familiarity with CRM systems (preferred).
