Academic Operations Coordinator

About the role

The Academic Operations Coordinator provides essential support for timetabling, attendance management, and the Virtual Learning Environment (VLE) within the Academic Operations team of the School of Medicine. Reporting to the AO Campus Operations Team Leader/Manager, the role ensures smooth academic administration and enhances the student experience.

Key responsibilities

• Configure and maintain timetabling parameters, gather requirements, and produce optimized timetables for all student groups.
• Upload timetabling data to the VLE, publish schedules, and generate regular reports on student, staff, and room allocations.
• Set up timetables in the university Attendance System, support students, and produce attendance reports.
• Manage VLE user accounts, upload class information, create student groups, and archive/roll over courses annually.
• Maintain procedural documentation and keep stakeholders informed.
• Develop strong relationships with internal departments, Year Directors, clinical coordinators, and other RCSI sites.
• Provide training and guidance to junior coordinators.

Required profile

• Bachelor's degree in Business Administration, Education, Higher Education Management, Public Administration, Management or a related field.
• Relevant professional certifications in project management, quality assurance, or administration are advantageous.
• Demonstrated experience in academic administration, policy implementation, and process improvement.

Required skills

• Proficiency with timetabling software.
• Experience using an attendance management system.
• Familiarity with Virtual Learning Environment (VLE) platforms.
